Who does this privacy statement apply to?

This privacy statement applies to all visitors of the Mantelzorger Website (https://mantelzorger.app) and users of the Mantelzorger App.

Who is responsible for processing personal data?

HelioBit B.V., located at Afrikaweg 52, 2713 AX Zoetermeer, the Netherlands, and registered with the Dutch Chamber of Commerce under number 86385313.

HelioBit is responsible for processing your personal data as described in this privacy statement. HelioBit acts as the “data controller” under the General Data Protection Regulation (GDPR) and is accountable for compliance with the principles laid down in the Regulation.

What data do we collect?

During your use of the Mantelzorger App or the Mantelzorger Website, we may process the following personal data:

a. Data you enter yourself when using the Mantelzorger App, such as:

• Name, prefix, address, and city of residence to create an account within the Mantelzorger App and access our services;
• Contact details such as email address and phone number to create an account and to contact you if necessary regarding your use of the app;
• (Potentially) special categories of personal data, including profile photo, hereditary diseases, conditions, allergies, medication use, and disabilities;
• Personal data of selected contacts that you share via the Mantelzorger App to create a group within the app;
• Other personal data you share in the Mantelzorger App, such as notes, messages to other group users, and calendar entries.

b. Analytical user data

Through the Mantelzorger App and the Mantelzorger Website, we process several types of analytical user data, such as:

Installation source data

• We store which source you used to download the Mantelzorger App. This source provides insight into which platform and region (country) the app is most used.

Device data

• The Mantelzorger App processes device characteristics to determine which version of Android or iOS we need to support.

App version data

• We track which version of the Mantelzorger App you are using, to determine whether changes in the application affect usage.

c. Log data

• When using the Mantelzorger App and the Website, we process log data. These logs may include information such as the Internet Protocol (“IP”) address of your device, device name, operating system version, the app configuration when using our service, the time and date of use, and other statistics.

Why is this data collected?

We may use your personal data for the following purposes:

• To create and manage your account within the Mantelzorger App, and to show other users the actions you have taken;
• To display and share the conditions, health status, medication usage, and other relevant medical information of the person in need of care with caregivers;
• To pre-fill the form for creating contacts within your group of caregiver(s) and care recipient(s). This data is stored after saving to maintain contacts and keep the app functional;
• To analyze, maintain, and improve the Mantelzorger App and Website;
• To detect and fix bugs promptly;
• To provide user support;
• To communicate with users, such as sending app updates, newsletters, surveys, or offers (including from third parties).

On what legal basis is this data processed?

We process your personal data based on the following bases from Article 6 of the GDPR:

Is personal data shared with third parties?

To provide the application, we use suppliers or subcontractors. These parties may also process personal data as our data processors. In such cases, we have signed data processing agreements with those parties and ensure the same level of security and confidentiality of your data. We remain the controller for these processing activities and ensure they are carried out in compliance with the GDPR.

The following third parties may process your personal data as our processors:

• Firebase Authentication for user login/registration;
• Amazon Web Services for hosting servers, databases, the app itself, and all data entered into the app;
• Mailchimp for sending email campaigns;
• Brevo for sending email campaigns.

Additionally, you may purchase products or services from third parties within the Mantelzorger App. If you make use of this option, we will transfer only the personal data necessary to execute your order to the third party you selected (e.g., name and address, depending on the order). This third party will then process your data independently as a data controller, in accordance with their own privacy statement. We have no influence over this further processing.

Is personal data stored outside the European Economic Area (EEA)?

We ensure your personal data is processed as much as possible within countries in the EEA. If your data is transferred to Firebase Authentication for user registration, it is stored in the United States. In that case, we ensure the transfer is subject to appropriate safeguards in accordance with Article 46 of the GDPR.

How is your personal data secured?

We take the protection of your data seriously and implement appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized changes. We do this by implementing the necessary technical and organizational measures based on the NEN7510 standard, the security norm for the medical sector.

What rights do you have as a user?

As a user of the Mantelzorger App and Website, you can exercise the following rights:

• The right of access;
• The right to be forgotten;
• The right to rectification and completion;
• The right to data portability;
• The right to restrict processing;
• The right to object to processing.

You can submit your request to exercise these rights via the Mantelzorger App. You can only make such a request if you have verified your email address so we can be sure it is you submitting the request.

We will handle your request within 30 days. If more time is needed, we will inform you of the reason for the delay and how long it is expected to take. In some cases, we reserve the right to refuse your request. If legally permitted, we will inform you of the reason for refusal.

Cookies

We use cookies when you access the Mantelzorger Website. A cookie is a small file that is stored on your computer, tablet, or mobile device when you visit a website. How long is your data retained?

Data you enter into the Mantelzorger App will be retained as long as you have an account. If you delete your account, we will delete your data no later than 12 weeks after the deletion date.

Changes

We reserve the right to update this privacy statement. Any updates will take effect once announced on the website or another official communication channel. If substantial changes are made, we will notify you specifically. If you continue to use the Mantelzorger App or Website after such changes, the revised version will apply from that moment.
